Business owners can create mass mailings to send W-9 tax forms to new hires and contractors. Mass mail means the W-9 form is sent to all the people listed on your distribution list. Mass mailing is readily available in most email clients. The Windows Live email client is included with Windows Vista and Windows 7.
Instructions
1. Click the Windows "Start" button and select "All Programs." Click "Microsoft Live Mail" to open your email client software.
2. Click the "BCC" button in the headers for your message. Select each individual recipient in your address book, or choose a distribution list. A distribution list is one email address that has several recipients, so you only need to choose one contact to send the mass mail to all of your contractors or employees. For privacy reasons, you use the "BCC" button, but place your own email in the To field to receive a copy of the email.
3. Click the "Attachment" button. Double-click the W-9 form on your computer. This attaches the form to your mass email.
4. Click the "Send" button. If any email addresses are bad, you receive an reply that says the email is not valid. Otherwise, your W-9 mass mail is sent to each recipient successfully.
