Instructions

1. Write the letter right away after the event. Lagging may actually solicit a harmful perception.

2. Start by discussing the specific event or recognition that prompted the letter.

3. Remind the recipient, if your history with them is long enough, how impressed you are from where they started by pointing out a specific memory of them. "I remember when you first started..." or "I remember how you told me about your passion for charity work."

4. Praise them for their accomplishment and the significance of it. Don't ever allude to how the success might benefit you or your interests.

5. Keep the letter positive throughout and short. Don't recount anything negative.

6. Take care not to exaggerate so as not to come off as mocking. Don't make any comparisons to famous people or other notables in your business community.

7. Use extemporaneous language with a more relaxed feel than you may use in any other letter. If you're having trouble expressing yourself in the letter start by writing what you would say if you delivered the congratulations in person.

8. Add a special touch by having the letter delivered with a modest gift or flowers. It will work best if the congratulations is for someone you've worked with extensively and would know that you are acting in earnest.
