First consider is the number of copies the business will need to make per month. For 50, or fewer, per month, it might be more cost effective to use an outside copy service or the self-service machines found in many office supply stores. This will save maintenance, electricity and space. For time-sensitive materials or confidential documents, cost becomes a secondary issue to the issue of maintaining control, and it will be worth investing in a small photocopier


Businesses that need fewer than 700 copies per month can save money by avoiding the copiers marketed toward heavy-duty commercial use. Consider one of the models sold in office supply retail stores. These copiers rarely come with extensive features or the option to purchase in-house service packages. Choose a popular model because they tend to require less extensive maintenance and it will be easier to find ink or toner.


Digital Copiers


Many small businesses choose to purchase digital copiers because of their versatility and features. Digital copiers are more cost-effective option over traditional photocopiers. Traditional photocopiers are simpler to operate because many times it is simply a matter of pushing one button to make a copy. Traditional copiers work with light and special lenses to make a copy. Digital copiers work in a way similar to scanners and create an image stored in memory. Purchase a copier with as much memory as you can afford. Check to see if memory can be added at a later date, when finances or your needs change.


Color


Color copies have become common and while most small businesses will realize some advantages from being able to produce color copies, cost is still a factor. The fastest color copiers apply cyan, yellow, magenta and black in one pass, however, these are the most expensive copiers.


Businesses that demand high-quality copies will not be able to avoid purchasing a high-quality copier. Narrow the search to two to four copiers, and arrange to test the copiers in-house. Review any service agreement carefully and negotiate for deals.
